   Administrative Officer – Day Surgery Unit

About the role

 

This is a fast-paced, highly rewarding administrative role where no two days are the same. You’ll be at the centre of patient flow—supporting admissions, managing data, and ensuring everything runs seamlessly behind the scenes.

 

This is a Part Time Ongoing role working  Mondays & Tuesdays with start times either 0630 or 1000hrs working a total of 30.4 hrs per fortnight.

 

What you’ll be doing

 

In this role, you will:

  • Provide a warm, professional front-of-house and phone experience for all patients and visitors
  • Manage patient admissions, registrations, discharges, and theatre data within systems such as iPM and EMR
  • Coordinate post-operative appointments, interpreter bookings, and transport arrangements
  • Prepare and manage patient medical records, ensuring accuracy and confidentiality at all times
  • Support the daily surgical theatre list and assist with reporting and data integrity
  • Liaise with clinical staff, internal departments, and external providers to support patient care
  • Assist with unit administration, including minute taking, roster updates, and general coordination
  • Contribute to a safe, efficient, and patient-focused environment

 

About you

 

You’re a seasoned administrator who thrives in a busy healthcare setting—this is your bread and butter. You’re organised, proactive, and bring a calm, professional presence to every interaction.

 

You will bring:

 

  • Experience in administration, reception, or clerical roles (healthcare highly regarded)
  • Strong data entry accuracy and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask, prioritise, and work autonomously
  • Confidence using systems such as iPM, EMR, SMR, Outlook, Word, and Excel
  • A high level of professionalism, confidentiality, and discretion
  • Flexibility to work 8–10 hour shifts (Monday–Friday, with occasional Saturdays)
