We are seeking an experienced Personal Assistant to provide high-level executive and administrative support to both the Operations Manager Medicine and the Operations Manager Surgery & Rehabilitation. 

 

This is a full-time ongoing position from Monday to Friday, based at Casey Hospital in Berwick.

About the Department / Program 

 

Site Administration at Casey Hospital is a dynamic and integral department that supports the day-to-day operations of the hospital through the coordination of Site Management services. Our team works collaboratively with a diverse range of stakeholders across Monash Health, including clinical teams, executive leadership, operational departments, and external partners. We play a key role in ensuring patient flow, operational efficiency, and effective communication across the organisation. With a strong focus on service excellence, problem-solving, and teamwork, Site Administration contributes to the delivery of safe, high-quality care and helps support the hospital's ability to meet the needs of our community.  

 

About the Role 

 

This is a highly visible and rewarding opportunity for an exceptionally organised and proactive administrator to provide Personal Assistant support to the Operations Manager, Medicine and the Operations Manager, Surgery & Rehabilitation, while assisting with Site Administration general enquiries at Casey Hospital. Based on site in Berwick, this role requires strong organisational skills, discretion, initiative, and the ability to build effective relationships with a broad range of stakeholders across Monash Health. As part of the collaborative Casey Hospital Site Administration Team, you will play a pivotal role in ensuring the smooth day-to-day coordination of key administrative functions while supporting the leadership team. This is a full-time ongoing position from Monday to Friday.

 

Key responsibilities include: 

 

  • Providing high-level administrative and executive support to the Operations Managers 

  • Managing diaries, schedules, meetings and correspondence 

  • Coordinating agendas, meeting papers, minutes and action registers 

  • Preparing reports, presentations and other business documentation to a high standard 

  • Liaising with internal and external stakeholders across the organisation 

  • Supporting General Enquires within Site Administration 

  • Supporting continuous improvement initiatives and efficient office operations 

 

  

About You 

 

To be successful in this administrative role, you will bring the following demonstrated skills, experience, and attributes: 

 

  • Previous experience in a Personal Assistant, Executive Assistant or senior administrative support role 

  • Exceptional organisational and time-management skills 

  • Advanced Microsoft 365 skills including Outlook, Teams, Word, Excel and PowerPoint 

  • Strong communication and stakeholder management capabilities 

  • Excellent attention to detail and ability to manage competing priorities 

  • A proactive, solutions-focused approach and commitment to delivering outstanding customer service. 

 

Qualifications, registrations and licences: 

 

  • Certificate IV or Diploma in Administration (desirable)
