The Department of Clinical Informatics at Monash Health is a dynamic, collaborative unit formed in February 2025. Bringing together the portfolios of the Chief Nursing & Midwifery Information Officer (CNMIO) and the Chief Medical Information Officer (CMIO), the Department provides clinical leadership across digital health, information governance, analytics, training, adoption, AI, user experience and more.

 

We are now seeking an experienced and highly organised Administration Manager to join the team at Monash Medical Centre Clayton in a job-share arrangement, commencing February 2026.

 

This position will be part time (0.4EFT) from February 2026 with a view to permanent full time from mid 2026. A hybrid working arrangement will be considered.

 

 

About the Role

 

This is a pivotal and highly visible role, providing high-level administrative support to the CNMIO and CMIO, and contributing directly to the effective and efficient operation of their offices. You will work at the centre of a fast-paced, future-focused environment that is actively driving digital transformation to improve patient outcomes across Monash Health.

 

As the Administration Manager, you will:

  • Provide confidential, high-level administrative and secretarial support
  • Manage complex diaries, selected email correspondence, and meeting preparation
  • Coordinate meetings, events, committees and travel, including acting as secretariat for high-level committees
  • Prepare executive-level reports, papers, presentations and documentation
  • Manage office processes, electronic filing systems, and consumables
  • Support workforce administration including UKG management, mandatory training and KPI monitoring
  • Liaise on behalf of the CNMIO and CMIO with internal stakeholders, consumer representatives, executive leaders and external partners
  • Provide support to Clinical Informatics leaders for recruitment, onboarding, events and general administrative needs

 

This role requires discretion, accuracy, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment.

 

About You

 

You are an experienced Administration Manager who demonstrates a flexible, can-do attitude and strong organisational, communication, and time management skills.

You will be a proactive, adaptable and highly capable administrator who thrives on supporting senior leaders. You will bring:

  • Previous experience as a Executive Assistant, Program Administrator or Administration Manager
  • Strong organisational and prioritisation skills
  • Excellent writing skills and attention to detail
  • Ability to handle sensitive and confidential matters professionally
  • Experience coordinating events, meetings, and reports
  • Well-developed interpersonal skills and confidence interacting with stakeholders at all levels
  • Intermediate–advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, SharePoint, OneNote)
  • Flexibility to support meetings and activities aligned to operational needs
  • Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury E-recruit, LanPage, iPM) is desirable
