Monash Health operates the new Casey EPC located at 114 Newgrange Boulevard, Clyde North, Victoria, 3978.
The Children’s Program provides high quality, equitable services to all children and adolescents. Operating as a single service across multiple inpatient and community sites, collaborative multidisciplinary teams will work in an integrated model across the care continuum for children and their families, delivering exceptional care for future health outcomes. Volunteers and key partnerships, integrated into the clinical teams and in stand-alone services, will enhance the experience of patients, families and visitors accessing the service. We will provide exceptional care, outstanding outcomes and a positive experience for all children and their families.
About The Role
The Administrative Officer provides day to day administrative support to the leadership team, nursing, allied health and support staff in the Monash Children’s Casey Early Parenting Centre. The Administrative Officer creates an excellent first impression of Monash Health by providing a friendly, courteous, and professional greeting to all children, families and visitors to the Casey Early Parenting Centre either by telephone or in person, and to support them in relation to the purpose for their contact and/or visit.
This is an ongoing position working from Casey EPC at Clyde North.
A Day in the Life
You will be responsible for ensuring the patient experience is second to none and patients are treated with respect and dignity while seeking the support and services of Monash Health. Creating an excellent first impression of Monash Health, you will provide a friendly, courteous and professional greeting to all visitors to Casey EPC either by telephone or in person, and to support them in relation to the purpose for their contact and/or visit. Typical daily duties will include but not limited to:

Provide general administrative, and clerical support to leadership team.

Liaising with administrative staffs and managers across Monash Health, other Early Parenting Centres and Universities as required.

Ensures accurate data entry for internal and external stakeholders and relevant data bases inclusive of, but not limited to IPM, SMR and EMR.

Processes and collates new Early Parenting Centres referrals.

Ensure appropriate use of the enquiry and entry functions in information systems.

Ensure the management of patient appointments and telephone communications are met in a compassionate, efficient, and professional manner.

Ensures cost effective ordering of medical consumables and stationery, unpacks deliveries, and ensures storerooms are well maintained.
About You
Communication skills and teamwork are extremely important in this role as you will be working in a diverse team. You are an experienced Administration Officer and have proven yourself as an effective team player and have provided high level administrative support to busy teams. You thrive working in a dynamic, fast paced environment and demonstrate a flexible, can-do attitude and strong organisational, communication and time management skills. With strong written and verbal communication skills, you are hardworking, honest and you respect and uphold the strict confidentiality requirements inherent in roles like this. You enjoy the challenges that come from working in a busy and dynamic setting, where organisational priorities can change frequently, and you are flexible to respond to changing needs without losing focus on the tasks at hand.
You will ideally have an administrative background, and an ability to effectively communicate with multi-function teams and diverse stakeholders. You also have professional discretion and diplomacy and ability to handle confidential material. You also possess the following:

High level of organisational and time management skills

Excellent interpersonal skills and the capacity to function collaboratively within a multidisciplinary team

Demonstrated ability to work in a complex environment, to meet task requirements to a high standard and achieve deadlines; and to manage changing priorities in a flexible, positive way

Ability to prioritise work and exercise discretion with established policies, guidelines and procedures

Administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered

Advanced knowledge in computer software applications (Outlook, Word, Excel, PowerPoint)

Excellent customer service skills and a high standard of both written and verbal communication skills
-
The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
-
Excellent interpersonal and communication skills
-
Good working knowledge of hospital administrative processes and hospital systems (, iProc, BEIMS, Riskman, iPM) is desirable
