Who We Are
Specialist Consulting provides an extensive range of medical and surgical specialist clinics to consumers of Monash Health. It is supported by multidisciplinary staff including allied health specialists, diagnostic services and interpreter services. Monash Health currently operates 680+ specialist clinics located across 8 sites servicing Melbourne’s large southeast catchment with a diverse and multicultural population. Our clinical and administrative teams work in a dynamic, fast paced environment, balancing the needs of patients in our care, along with those of the medical and nursing teams and the appointment scheduling. Our teams are well established, friendly and compassionate and welcome new staff.
About the Opportunity
The Senior Administration Manager (Specialist Consulting) is an exciting full time opportunity as the lead manager for the Monash Medical Centre, Moorabbin and Monash Children's Hospital Specialist Consulting clinics and the administration teams. Whilst leading the administrative and clerical teams, your weekday will be surrounded by an established team of nurses, clinicians and medical workforce staff from a range of specialties. This position is responsible for overseeing the administrative operational management of Specialist Consulting at these specific sites, with an exciting and ever growing service and clinical sites planned. This position will drive and lead change to improve service delivery and efficiency. The role of the operations manager positively contributes to the delivery of an exceptional patient experience, and which is in line with our organisation’s strategic plan. Using strong leadership skills, this role engages and partners with stakeholders from across the organisation to develop and implement change programs, new procedures and manage teams and responsibilities across multiple sites.
Key Responsibilities:
- Lead and manage the day-to-day operations of specialist consulting clinics across multiple sites.
- Implement innovative change and continuous improvement initiatives in line with Monash Health’s strategic objectives and the Department of Health Access Policy.
- Build and sustain high-performing teams through coaching, training, and support.
- Develop and maintain effective working relationships with internal and external stakeholders including clinical teams, patients, carers, and partner services.
- Oversee the implementation of clinic template changes to support effective scheduling and patient flow.
- Monitor risk, compliance, safety, and performance KPIs, and lead timely responses to complaints or operational issues.
- Undertaking investigations to resolve complaints
- Contribute expert advice to senior leadership and support the design and execution of business improvement projects.
About You
We are seeking an experienced and patient-focused leader to manage our Specialist Clinics across multiple sites. In this role, you will oversee a large clerical team coordinating high volumes of outpatient appointments, ensuring efficient operations and exceptional care for patients requiring ongoing community-based support.
You bring strong leadership in outpatient or specialist clinic settings, with the ability to guide multidisciplinary teams in a dynamic, high-pressure environment. Your ability to plan, organise, and improve administrative processes ensures smooth service delivery. You are confident working across multiple health IT systems and adept at managing change.
With excellent communication skills, you build strong relationships with clinical and administrative staff at all levels. You understand the broader healthcare landscape and apply your knowledge of relevant policies and compliance frameworks to drive service excellence.
You will also be able to demonstrate:
- Leadership experience in outpatient/specialist clinic environments
- Strong communication and team management skills
- Proven ability to lead through change and support performance improvement
- Knowledge of healthcare policies, systems, and compliance
- Experience with budgeting, scheduling, and referral management
- Expertise in workforce planning, performance monitoring, and continuous service improvement
- In-depth understanding of relevant healthcare policies and compliance frameworks (e.g., Access Policy, DHHS guidelines).
