About The Role 

Monash Health Bureau is seeking experienced casual Administrative Officers, Ward Clerks (Inpatient Wards and Emergency Departments), Personal Assistants and Executive Assistants to join our casual workforce across our various sites. With multiple locations across Melbourne’s South East, Monash offers administrative work with meaning, in your location of choice. 

All administrative roles work within busy team-based environments providing efficient and effective administrative support, contributing to consumer safety and care. 

  

Administrative Officer 

As an administrative officer at Monash, you’ll play a key role in supporting day to day operations across a variety of teams. A typical day will see you: 

  • Preparing reports, minutes and agendas
  • File/ data management
  • Answering phones and email enquires with exceptional customer service skills
  • Support unit administration (eg. processing invoices, supporting workforce allocation or working with basic data systems)

Ward Clerk 

Ward Clerks play a vital role within a Unit/Ward, ensuring accurate and up-to-date patient information management that directly contributes to safe, high-quality care. In your role as Ward Clerk, you will: 

  • Undertake real-time management of consumer admissions, discharges, and transfers (wards and beds)
  • Perform data entry and administrative duties that support the smooth operation of the Unit/Ward
  • Provide customer-focused service to consumers, families, and visitors, while delivering efficient clerical support and administrative assistance to the multidisciplinary team
  • Support clinical staff by managing administrative tasks and handling duties such as patient data entry, scheduling, and maintaining records 

  

Personal/ Executive Assistant 

In the role of Personal Assistant / Executive Assistant you will provide executive support, operational business support and human resource, finance and document management administration for the various areas within Monash Health. The major hospitals within Monash Health include: 

  • Monash Medical Centre, Clayton
  • Monash Children’s Hospital
  • Dandenong Hospital
  • Casey Hospital
  • Moorabbin Hospital
  • Kingston Centre
  • Victorian Heart Hospital

About You 

You have an administrative background with highly developed organisational skills, attention to detail and strong communication skills. 

Through your self-motivated and enthusiastic nature, you can adapt to changing priorities and targets while delivering exceptional customer service at all times. 

You are proactive and organised with the ability to work independently from workplans, and within policies/procedures/ guidelines. You work collaboratively in a team environment, and have excellent communication skills, communicating clearly and effectively with co-workers, stakeholders, senior management, patients and public. You accept accountability and responsibility for you own work and actions. 

What you need: 

  • Minimum of 1 year proven experience as an Administration Officer (or similar- eg customer service, medical administration, workforce coordination- shift allocation/ rostering), Ward Clerk or Personal Assistant and/or Executive Assistant
  • Proficient in Microsoft Office Suite
  • Valid Drivers license
  • Current Working With Children’s Check
  • Current Police Check
