Monash Health is seeking a highly organised and patient-focused Administrative Assistant to support our Liver MBS, Fibroscan and PillCam clinics within the Gastroenterology Department.
This role is a key front-line position supporting private-in-public capsule endoscopy and fibroscan clinics, and plays a critical role in ensuring an efficient, compliant and positive experience for patients and clinicians.
About the Role
Reporting to the Operations Manager – Surgical Specialties, you will provide high-quality administrative and billing support to specialist liver clinics, including:

Coordinating clinic bookings, templates and clinician schedules

Managing referrals and waiting lists in line with Specialist Consulting Access Policy KPIs

Supporting Medicare (MBS) billing, reconciliation and FYDO processes
-
Maintaining accurate outpatient data, SMR records and VINAH reporting
-
Acting as the first and final point of contact for patients attending liver clinics

Supporting nurse-led clinics in collaboration with Liver Clinical Nurse Consultants
This is a fast-paced role requiring strong attention to detail, excellent communication skills and the ability to adapt to frequent schedule changes.
About You
You will bring:

Demonstrated experience in outpatient or referral management (highly regarded)

Strong administrative skills, including clinic bookings and data management
-
Confidence working with MBS billing processes and financial reconciliation (or willingness to learn)

Excellent customer service skills and a professional, welcoming manner
-
Ability to work autonomously while contributing positively to a multidisciplinary team
-
Strong organisational skills and ability to prioritise under pressure
A Victorian Driver’s Licence is required, as the role supports clinics across multiple sites.
