About Specialist Consulting
The Specialist Consulting Administration Team is the central coordination point for our service. From managing referrals and scheduling complex clinics to liaising with patients, families, and external stakeholders, the team ensures the consulting service operates smoothly and professionally. Their attention to detail and commitment to service excellence directly supports positive patient experiences and effective clinical outcomes.
About the Role
We are seeking highly organised and customer-focused Administration Officers to join our Specialist Consulting (Outpatients) teams across multiple Monash Health sites.
These roles are integral to ensuring patients experience a smooth, efficient and compassionate outpatient journey. As the first point of contact for many patients, you will create a welcoming and professional environment while providing high-quality administrative support in a fast-paced healthcare setting.
Multiple ongoing vacancies available:
• Part-time and full-time positions (minimum 16 hours/week)
• Daytime shifts – rotational start and finish times from Monday-Friday
• Flexible working arrangements may be available following training (site dependent)
In this role, you will be at the centre of outpatient service delivery—coordinating patient journeys, managing high-volume interactions, and ensuring accurate, timely and professional administrative support across the clinic.
Your responsibilities will include:
- Managing high volumes of inbound and outbound calls in a call centre environment
- Providing professional front-of-house reception services
- Processing internal and external referrals
- Scheduling and managing patient appointments, including interpreter and transport bookings
- Liaising with patients, clinicians and internal departments to facilitate timely outpatient care
- Preparing and maintaining electronic patient records
- Accurate data entry into systems including iPM and SMR
- Billing, receipting and payment reconciliation
- Ensuring outpatient activity data meets VINAH and regulatory standards
- Preparing and distributing correspondence and referral status updates
- Supporting referring physicians with reports and appointment information
- Maintaining confidentiality and compliance with Monash Health policies and procedures
- General administrative and clerical duties as required
About You
You are a proactive and compassionate (preferably, although not essentially in healthcare) administrator who thrives in a fast-paced environment. You are confident working both autonomously and within a team and can manage competing priorities with professionalism and attention to detail.
In addition, you will also bring:
- Proven experience in administration and/or customer service
- Strong verbal and written communication skills
- Ability to manage high-volume workloads calmly and efficiently
- Excellent organisational and time management skills
- High attention to detail and data accuracy
- Ability to learn new systems quickly (experience with iPM highly desirable)
- Professional presentation and commitment to confidentiality
- Flexibility with staggered start and finish times
Previous experience in healthcare, outpatient services or a high-volume call environment is highly desirable.
