About the Department / Program 
The Chief Nursing and Midwifery Office provide strategic, professional and operational leadership for Monash Health’s nursing and midwifery workforce. Bringing together the Workforce, Professional Practice, Education, Mental Health Education, Prevention of Violence and Aggression and Practice Improvement teams, the Office drives workforce capability, professional standards, clinical governance and continuous improvement. Working in partnership with clinical services across the organisation, the Office supports nurses and midwives at every stage of their career to deliver safe, high-quality and compassionate care for our community.

 

The Nursing and Midwifery Workforce and Professional Practice team operates within the Office of the Chief Nursing and Midwifery Officer and provides organisation-wide leadership in workforce strategy, workforce sustainability and professional governance for nursing and midwifery across Monash Health.  

 

Working collaboratively with clinical services, education providers and operational leaders, the team supports current and future workforce priorities through innovative workforce programs, contemporary employment models and evidence-informed governance frameworks  

 

The team leads key workforce portfolios including casual and pool workforce management, undergraduate, graduate and Aboriginal Cadet Employment programs, and provides expert leadership in professional practice functions such as credentialing, scope of practice, classification services, advanced practice, professional standards and regulatory compliance.  

 

About the Role  
We are seeking dedicated Allocations Officers to join the Workforce Unit team, based at Kingston Centre. We currently have opportunities available for a permanent position working 7 days per fortnight, as well as casual positions for individuals seeking flexible work arrangements.

 

These roles are ideal for people who thrive in a fast-paced environment and are passionate about delivering exceptional customer service. Positions work across a rotating roster of morning, day and afternoon shifts, covering operational hours between 5:30 AM and 10:00 PM, 7 days a week.

 

You will receive comprehensive on-the-job training and gain experience using a web-based staff allocation system, while playing a vital role in supporting workforce operations across Monash Health.

 

As part of the Workforce Unit Allocations Team, you will be responsible for coordinating staffing across Monash Health using a web-based workforce management system. To address workforce shortages, you will work closely with both internal and external stakeholders. The role also includes a range of administrative tasks that support our operational functions. 

 

This role is driven by a commitment to delivering efficient, responsive and customer-focused workforce services. Supporting workforce portfolios operating under the Director of Nursing and Midwifery Workforce and Professional Practice, you will play an important role in workforce coordination, workforce administration and daily workforce operations.  

 

Working within established procedures and processes, you will provide administrative support across workforce functions, assist with workforce coordination activities and respond to workforce enquiries while maintaining high standards of accuracy and customer service.  

 

In this role, you will: 

  • Coordinate the allocation of casual, pool and temporary workforce resources to support operational requirements.
  • Monitor vacant shifts and workforce demands and facilitate timely workforce allocation activities
  • Liaise with employees, managers and operational stakeholders regarding workforce availability and staffing requirements.
  • Escalate workforce shortages, service risks and unresolved allocation matters through established processes.
  • Maintain workforce allocation systems, records and documentation.
  • Provide administration support across recruitment, on boarding, workforce compliance and employee lifecycle activities as directed.
  • Process workforce documentation, correspondence and employee records
  • Respond to workforce enquiries and provide customer-focused administrative support.
  • Support workforce invoicing, reporting, audits and organisational initiatives as directed.
  • Manage shared mailboxes, communication channels and administrative workflows.

 

About You  

To be successful in this role, you will bring: 

  • Experience in administration, customer service or workforce support roles. 
  • Excellent communication and interpersonal skills. 
  • Strong organisational skills and attention to detail. 
  • Ability to work effectively within established processes and procedures and escalate issues/ risks promptly. 
  • Demonstrated ability to manage competing priorities in a busy environment. 
  • Confidence using Microsoft Office applications and administrative systems. 
  • A positive, professional and customer-focused approach to service delivery.

 

Essential Requirements 

  • Previous experience in administration, customer service or a similar role.
  • Demonstrated computer proficiency across Microsoft Office applications. 
  • Ability to work within a rotating roster environment. 
  • Ability to travel across Monash Health sites when directed.  
  • Excellent communication skills.
