Administration Officer - Cardiac Cath Lab Bookings & Scheduling 

The Victorian Heart Hospital’s Cardiac Cath Lab Booking & Scheduling Administration Officer is a pivotal role in creating an excellent first impression and ensuring optimum patient care and actively contributing to the functioning of the Cardiac Catheter Labs at the Victorian Heart Hospital (VHH). A multifaceted role requiring a range of administrative duties to be completed in a timely, accurate and positive manner.  Key focus of this role is to provide efficient and timely booking services for all elective (public and private) patients undergoing procedures in the heart hospitals Cardiac Cath Labs. Working closely with a multidisciplinary team including the Cardiac Cath Lab and Structural Heart Clinical Coordinator to assist with prioritisation of the lists. Reporting to the Administration Cardiac Cath Lab Team Lead, and part of a wider Ambulatory Services team to deliver an innovative model to centralise all booking services at the heart hospital. Our Cardiac Ambulatory Services is a ‘one stop shop’ providing patients with an efficient, streamlined, and integrated approach to the patient journey within a multidisciplinary team focus, with vastly reduced duplication and patient movements, and standardisation of care. Critical to this role is the ability to create an excellent first impression by providing a friendly, courteous, and professional greeting to patients and carers, relevant stakeholders, and employees and support them in resolving their queries.

 

What You Need

To ensure your success in this role, you will have following demonstrated skills, experience and knowledge:

  • Experience in scheduling patients for appointments
  • Sound knowledge of IPM/EMR particularly waiting list management.
  • Highly developed knowledge of data requirements (VINAH), patient management systems workflows, & high  data standards 
  • Proficient computer skills, strong understanding of Microsoft Office, confidence with a range of patient management systems and software packages
  • Exceptional communication skills, verbal and written
  • Excellent organisational and time management skills with a demonstrated ability to function autonomously in a self-directed manner
  • Medical terminology
  • Attention to detail with analytical and problem-solving skills
  • Able to work autonomously and part of the cardiology team
  • Contribute as part foster a culture that encourages positive working relationships and a safe workplace
  • Capacity to participate as an effective team member & assist in achieving Victorian Heart Hospital key performance indicators.
