Are you an experienced administrative professional with a passion for leading and supporting teams?

We are seeking a dedicated Admin Team Leader to oversee the clerical team in the dynamic and fast-paced environment of our Cardiac Emergency Department at the Victorian Heart Hospital. 

 

About the Role

As the Admin Team Leader, you will be responsible for supervising clerical staff, managing daily operations, and ensuring the accurate processing of all patient presentations and admissions. You will also play a key role in the recruitment, training, and development of staff while continuously driving process improvements to enhance the efficiency of the department. Key Responsibilities: 

  • Lead and supervise the clerical function within the Cardiac Emergency Department. 

  • Manage recruitment, training, and rostering for clerical staff. 

  • Develop, implement, and monitor process improvements to streamline clerical operations. 

  • Oversee the maintenance of office supplies, including stock, stationery, and kitchen essentials. 

  • Ensure a high standard of work area presentation and cleanliness. 

  • Assist with clerical tasks as needed, supporting smooth department operations. 

  • Maintain up-to-date clerical communication tools. 

  • Promote health and safety compliance within the department, in line with Monash Health procedures. 

  • Empower and guide staff to take ownership of their roles and achieve outstanding results. 

Key Qualifications and Skills: 

  • Extensive knowledge of accounting principles and procedures. 

  • Advanced proficiency in Microsoft Excel and Access. 

  • Strong numerical and analytical skills. 

  • Prior experience in staff and medical record systems management (preferred). 

  • Excellent written and verbal communication skills. 

  • Ability to relate effectively with staff at all levels. 

  • Outstanding customer service skills and a professional demeanor. 

  • Knowledge of medical terminology is beneficial. 

  • Exceptional time management and organizational skills.
