Monash Health Haematology is seeking a Clinical Trial Close Out Coordinator to join our dynamic Clinical Trials Unit, based at the state-of-the-art Monash Health Translation Precinct. With over 120 active trials across malignant haematology and haemostasis/thrombosis, our team is at the forefront of innovative therapies, including targeted therapy, immunotherapy, and chemotherapy.  

About the Role   

The successful candidate will have a minimum of 12 months’ experience working in clinical trials within a clinical research environment, with demonstrated knowledge of clinical trial processes, research governance requirements, and a commitment to delivering high-quality trial outcomes.

The candidate will demonstrate initiative, sound judgement, and the ability to work independently and collaboratively within a multidisciplinary team, with strong problem-solving skills, adaptability, resilience, and a commitment to continuous learning and process improvement. This role is suited to someone who takes ownership of their work and is passionate about supporting high-quality clinical research and improving patient outcomes. 

Trials will be allocated to this co-ordinator once all participating patients have progressed into the follow-up portion of the study. 

About You  

Qualifications, registrations and licences (mandatory):

• Minimum 1 year hands-on experience working in clinical trials within a clinical research environment (e.g., hospital research unit, CRO, or Sponsor organisation). 

• Must have demonstrated experience managing multiple clinical trials concurrently, including study coordination activities across the trial lifecycle. 

• Must have demonstrated understanding of clinical trial processes, ICH-GCP, research governance, regulatory requirements, and clinical trial close-out activities. 

• Science, Nursing, Medical, Haematology, or Biomedicine background 

Desirable Qualifications and Skills:

• Experience coordinating clinical trial close-out activities, including document reconciliation, study archiving, sponsor close-out visits, and ensuring completion of trial documentation requirements. 

• Experience maintaining Investigator Site Files (ISF), electronic Trial Master Files (eTMF), and essential trial documentation in accordance with ICH-GCP and regulatory requirements. 

• Prior experience in patient management/coordination within a clinical research environment. 

• Experience working with study sponsors, investigators, research governance teams, and multidisciplinary stakeholdersto support trial completion. 

Technical skills, knowledge and experience:

• Strong organisational, planning, and time management skills, with the ability to manage multiple studies, competing priorities, and deadlines. 

• High attention to detail with the ability to maintain accurate, complete, and well-organised trial documentation and records. 

• Demonstrated ability to identify, escalate, and resolve issues proactivelywhile maintaining compliance with sponsor, institutional, and regulatory requirements. 

• Ability to interpret and apply protocol requirements, manage challenges, and support effective trial delivery. 

• Excellent written and verbal communication skills, with the ability to work effectively independently and collaboratively within a multidisciplinary team. 

• Ability to work with minimal supervision, demonstrate initiative, and manage assigned responsibilities effectively. 

• Proficient computer skills, including Microsoft Office applications and clinical trial systems/electronic platforms. 

• Commitment to continuous professional development, flexibility, innovation, and process improvement. 

Key performance indicators:

• Completion of tasks relating to patient visits in a timely manner 

• Completion of data entry (where relevant) in a timely and accurate manner 

• Positive communication with patients,  Team Leaders, Manager (Contracts and Finance) , Research Coordinators, Ethics team and Research Assistants 

• Maintenance of professional conduct
