About the role
The Donation Management and Operations Manager is a fixed-term, 12-month maximum term, part-time position (0.6 FTE), responsible for supporting the effective and compliant management of philanthropic donations within the Monash Health Foundation during a period of reduced team capacity. This position ensures the accurate processing, documentation and reporting of gifts, maintaining the integrity of the Foundation’s established donation management framework. Working closely with colleagues across the Operations Unit and the wider Foundation team, the Manager maintains streamlined workflows, assists with allocation processes and provides essential administrative and operational support. The role also supervises staff involved in donation processing, offering guidance to ensure consistency, adherence to procedures and continuity of service throughout this transitional period. The aim is to keep day‑to‑day operations running smoothly. This is a hands‑on and varied position, ideal for someone who enjoys solving problems, improving processes and helping others make the most of the tools and systems we use. You will support key platforms, enhance workflow efficiency, develop meaningful reports and contribute to a collaborative, solutions‑focused culture. Your key responsibilities will include:
· Oversee accurate processing, documentation, and reconciliation of philanthropic donations in line with established procedures.
· Maintain donor and donation records to a high standard of accuracy, confidentiality, and compliance.
· Generate routine reports and support data analysis to inform operational and leadership decision‑making.
· Guide and mentor staff responsible for donation processing, ensuring consistent application of processes and timely service delivery.
· Support operational workflows, respond to donor and internal queries, and contribute to continuous improvement initiatives across donor services.

About You
You are a detail‑oriented and organised professional with experience in administrative or operational support roles, ideally within a fundraising or not‑for‑profit setting. You bring strong communication skills, sound judgment, and the ability to maintain accuracy while managing competing priorities in a dynamic environment. Your collaborative approach and commitment to confidentiality enable you to work effectively across teams and support high‑quality donor stewardship.
You will bring
· Demonstrated experience in administrative or operational support, with strong attention to detail.
· Working knowledge of receipting, reconciliation, reporting, or similar financial processes.
· Proficiency in Microsoft Office, including intermediate to advanced Excel skills.
· Strong communication and stakeholder liaison capabilities.
· Ability to prioritise effectively, uphold confidentiality standards, and contribute to process improvements.
What you need
You will have Tertiary qualification in a relevant discipline (e.g., business, finance or similar discipline) with demonstrated relevant experience, or an equivalent, alternate combination of relevant knowledge, training and/or experience. You will have demonstrated experience in administrative or operational support, ideally in fundraising or the not‑for‑profit sector, backed by strong attention to detail and confidence working with financial processes like receipting, reconciliation, and reporting. You are comfortable with CRM or donor management systems (Salesforce NPSP a bonus) and proficient across Microsoft Office, particularly Excel.
You will bring strong communication skills, a collaborative approach, and a commitment to confidentiality when handling donor information. Adaptable and proactive, you manage competing priorities with ease and enjoy contributing to smoother processes and stronger team outcomes.
