About the Role:
We are seeking a highly organised and customer-focused Administration Officer to join our Specialist Consulting team. This role is vital in creating a welcoming and professional first impression for patients and visitors, while providing comprehensive administrative support across our Clayton, Moorabbin, and Monash Children’s Hospital sites.
 
Key Responsibilities
  • Manage high volumes of inbound and outbound calls with professionalism and empathy
  • Provide courteous reception services for face-to-face enquiries
  • Create and manage patient appointments, including transport and interpreter bookings
  • Prepare electronic patient files, billing, and reconcile payments
  • Maintain accurate patient records and databases
  • Ensure outpatient activity data meets VINAH and regulatory standards
  • Support referring physicians with timely reports and appointment information
  • Perform general office duties including mail distribution and document handling
  • Maintain a clean and professional reception and consultation environment
  • Adhere to Monash Health policies and procedures
About You:  You are a confident and compassionate communicator with a strong administrative background and a passion for healthcare. You thrive in fast-paced environments and are committed to delivering exceptional service.
 
Your Skills & Experience:
  • Proven experience in customer service and administration
  • Strong verbal communication and active listening skills
  • Ability to multi-task, prioritise and manage time effectively
  • High attention to detail and accuracy in data entry
  • Proficiency in Microsoft Office and willingness to learn new systems (e.g. iPM)
  • Professional presentation and commitment to confidentiality
  • Ability to remain calm under pressure and manage competing priorities
  • Previous experience in a healthcare or high-volume call environment is highly desirable
