About The Role

The Executive Assistant role to the Program Director of MonashHeart, VHH & ICU and General Manager of MonashHeart, VHH & ICU will manage a variety of duties while

serving as the point of contact between executives and employees. The position requires proactive liaison with medical and nursing staff, Monash Health Leadership Staff, and external stakeholders. This role requires a high-energy, motivated individual with a strong passion for healthcare administration, capable of handling confidential matters with professionalism and able to manage demanding workloads and tight timelines effectively.

The Executive Assistant’s role enables senior leadership to fully focus on strategic priorities, advancing the mission of Monash Heart, VHH & ICU through efficient administration and streamlined support.

This is a Permanent, Full Time Position based at the Victorian Heart Hospital Clayton. Whilst there may be some flexibility at times, this position requires the successful applicant to be on site 5 days per week.

About You

Strong communication and teamwork skills are essential, as you will collaborate with a diverse team. As an experienced Executive Assistant, you have a proven track record of providing high-level administrative support while being a reliable team player. You excel in a dynamic, fast-paced environment, demonstrating adaptability, a proactive mindset, and exceptional organisational, communication, and time management skills. With outstanding written and verbal communication, you are diligent, trustworthy, and committed to maintaining strict confidentiality. You embrace challenges in a fast-moving workplace where priorities shift frequently, responding flexibly while staying focused on tasks.

Ideally, you have a senior administrative background and the ability to engage effectively with multi-functional teams and diverse stakeholders. You exercise professional discretion, diplomacy, and sound judgment in handling confidential information.

You also bring:
• Strong organisational and time management skills
• Excellent interpersonal skills and the ability to collaborate within a multidisciplinary team
• Proven ability to perform in a complex environment, meeting high standards and tight deadlines while adapting to shifting priorities
• Capability to prioritise tasks and apply discretion within established policies and procedures
• Advanced proficiency in software applications (Outlook, Word, Excel, PowerPoint)
• Exceptional customer service skills and high-level written and verbal communication
• Initiative and independence in task execution while contributing effectively to a team environment
• Strong interpersonal and communication abilities
