Role Overview - Outpatient Services Manager
The MLSAI Outpatient Services Manager leads a comprehensive, fast-paced service structure that includes a five-day outpatient operation, a three-day-per-week daytime unit, and a six-night inpatient sleep service. You’ll manage a dedicated team of three Team Leaders plus 15+ staff, continually refining workflows and service delivery to meet changing needs and KPIs while fostering collaboration across care settings.
In addition to this, you will also:
- Lead and develop a multidisciplinary team, including 3 Team Leaders and 15+ staff.
- Drive improvements to ensure high-quality, patient-centred service delivery across MLSAI and Monash Health.
- Coordinate administrative workflows and information flow to support operations.
What you’ll do and why it matters
Your primary objective is to develop and implement strategic plans that optimise administration and the patient experience across MLSAI and Monash Health. You’ll recruit, train, and deploy personnel, allocate responsibilities, manage office space, and monitor costs to meet budget outcomes. By streamlining procedures and engaging stakeholders to adopt updated workflows, you’ll foster continuous improvement and elevate patient care.
You’ll also lead staff development through Give Me 5 sessions and other training while ensuring rostering and rotations align with operational needs.
- Develop strategy and implement plans to optimise administration and patient experience.
- Recruit, train, and allocate responsibilities; manage office space and rostering.
- Ensure OH&S policies, budget outcomes, and regulatory compliance.
- Plan, coordinate, and streamline administrative procedures and systems; drive updated workflows.
- Engage stakeholders to adopt new processes; lead continuous improvement initiatives.
- Lead staff development through Give Me 5 sessions and targeted training; monitor performance.
- Maintain proficiency with MLSAI and hospital databases (Medilink, Nexus, Respiro, iPM, SMR, M365, Teams) for reporting and decision-making.
- Represent administration and support functions in department meetings.
Your Profile: What You’ll Bring
You bring exceptional leadership and people management skills to guide a multidisciplinary team through complex workflows. Your management and teaching capabilities will foster growth from onboarding to advanced practice. A high level of IT proficiency is essential to navigate multiple systems, enabling efficient workflows and data-driven decisions. You’ll apply a sharp eye for process improvement, engaging stakeholders to implement updated procedures, and you’ll quickly adapt to new programs and evolving KPIs while delivering outstanding patient care in a forward-thinking, technology-enabled setting.
