About the Role
Monash Health Specialist Consulting (Outpatients) is seeking a highly organised and proactive Personal Assistant to support the Operations Director and Operations Managers.
This is a key administrative role responsible for ensuring the smooth and efficient running of the leadership office. You will manage a broad range of administrative, coordination and communication activities, while working across multiple stakeholders in a complex and fast-paced healthcare environment. The role requires a high level of professionalism, discretion and attention to detail, including managing confidential and sensitive information.
Key Responsibilities:

Provide high-level administrative support to the Operations Director and Operations Managers to ensure daily operations run efficiently

Coordinate diaries, meetings, schedules and logistics, including preparation of agendas, minutes and action tracking

Prepare high-quality reports, presentations, correspondence and other documentation with a high level of accuracy

Act as a key point of contact, managing communications with internal and external stakeholders

Maintain strict confidentiality across all administrative and organisational matters
-
Support office operations including resource coordination, purchasing and administrative processes in line with organisational requirements

Collaborate with other Executive and Personal Assistants to support team effectiveness and coverage during peak periods

Contribute to continuous improvement initiatives to enhance efficiency and service delivery
About You
You are an experienced and highly capable Personal Assistant who thrives in a complex, fast-paced environment. You bring:

Demonstrated experience in a senior administrative or Personal Assistant role, ideally within a large or healthcare organisation

Exceptional organisational and time management skills, with the ability to manage competing priorities
-
Strong written and verbal communication skills, with the ability to engage a wide range of stakeholders

Advanced skills across the Microsoft 365 suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)

High attention to detail and commitment to delivering accurate, high-quality work

Ability to manage confidential and sensitive information with professionalism and discretion

A proactive, adaptable approach with strong problem-solving skills and initiative
