The Clayton AMHS community services are located across the Monash Medical Centre (Clayton), Atherton Road Centre (Oakleigh), Victorian Pride Centre (St Kilda) and at residential settings in East Bentleigh and Clayton. They comprise the following service streams: 

  • Emergency Psychiatric Service (EPS) at Monash Medical Centre (MMC) 
  • Consultation Liaison Psychiatry (CL Psychiatry) at MMC 
  •  Acute Crisis Intervention Service (ACIS) at Atherton Rd Centre (ARC) 
  • Gender Clinic at The Pride Centre in St Kilda 
  • Continuing Care Team (CCT) at ARC 
  • Mobile Support and Treatment Team (MSTT) at ARC 
  • Hospital Outreach Post Suicidal Engagement (HOPE) at ARC 
  • Perinatal & Infant Mental Health Team (PIMHT) located at ARC and Pakenham 
  • East Bentleigh Community Care Unit (CCU) in East Bentleigh 
  • Clayton Prevention and Recovery Care Service (PARCS) in Clayton 

 

About the Role 

 

In this full-time, permanent role based at Monash Medical Centre you will provide high-level administrative and organisational support The Head of Unit Clayton Mental Health / Deputy OM Clayton Mental Health 

You will work closely with these leaders to coordinate day-to-day operations, assist with managing priorities  prepare documentation and reports, and support communication between internal and external stakeholders.   

The Personal Assistant plays an integral role in supporting the service leadership and ensuring its smooth and efficient day-to-day operation while also contributing to efficient, patient-centred service delivery. 

 

Responsibilities may include: 

 

  • Preparing executive level presentations, reports and documents.  
  • Co-ordination and management of office communications, management of diaries, schedules, meetings, roster, leave and UKG management of senior medical staff, leave management of junior medical staff and other logistical arrangement as directed 
  • Extensive Diary Management  
  • Coordinating meetings including venue bookings, preparing agendas and minutes.  
  • Drafting communications, completion of projects and maintaining data as required  
  • Providing efficient and effective administrative support and office management.  
  • Participating in Zone Warden roster  

About You

 

You are an experienced PA who demonstrates a flexible, can-do attitude and strong organisational, communication, and time management skills. Your proactive approach and ability to ‘think on your feet’ when responding to changing demands will serve you well in a dynamic environment.     

 

You will also demonstrate:  

  • Previous experience working as an Executive, Personal or administrative assistant at Executive level  
  • Extensive administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered.  
  • Advanced knowledge in computer software applications (M365, Outlook, Word, Excel, PowerPoint)  
  • Excellent customer service skills and a high standard of both written and verbal communication skills  
  • The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team.  
  • Good organisational skills and be comfortable prioritising and meeting multiple demands.  
  • Excellent interpersonal and communication skills  
  • Good working knowledge of hospital administrative processes and hospital systems (UKG, Oracle, BEIMS, Riskman, E-Hub) is desirable
