A great opportunity is now available for an experienced Personal Assistant to support the Program and Deputy Program Medical Director, Specialty Medicine.
About the Department / Program
The Specialty Medicine Program delivers complex, multidisciplinary care across ten medical specialties. The team supports clinical leadership and operational delivery, working closely with internal departments, hospitals, and external partners to ensure safe, coordinated, and high-quality patient care.
The program focuses on effective service coordination, governance, and continuous improvement, enabling consistent care delivery and supporting organisational priorities across multiple sites and services.
About the Role
In this full time, fixed term (up to 1 year as a parental leave position) role based at Monash Medical Centre, you will provide high-level administrative and organisation support to the Program and Deputy Program Medical Director in Specialty Medicine. Responsibilities may include:
- High-quality customer service to internal and external stakeholders
- Co-ordination and management of office communications, management of diaries, schedules, meetings and other logistical arrangement as directed by the Program and Deputy Program Director
- Preparation of agenda, minutes, reports, presentations and documents
- Work effectively and cooperatively within a team structure
About You
To be successful in this healthcare role, you will bring the following demonstrated skills, experience, and attributes:
- Previous experience working as an Executive, Personal or administrative assistant at a senior management level
- Advanced knowledge in computer software applications (M365 including SharePoint, Outlook, Word, Excel, PowerPoint)
- Proficient in the use of broad technical or administrative processes through a number of years of experience in the field or to be a tertiary graduate with a number of years’ experience in the field
- Excellent customer service skills and a high standard of both written and verbal communication skills
- The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
- Good organisational skills and be comfortable prioritising and meeting multiple demands
- Good working knowledge of hospital administrative processes and hospital systems (UKG, Oracle, BEIMS, Riskman, E-Hub) is desirable
