Join our Aged and Community Care Program on a Full-time ongoing basis, where our multidisciplinary team supports older people to remain healthy, independent and living in their own homes. As an Administration Officer, you will be the welcoming voice and organisational backbone of our service, supporting both clients and clinicians to deliver high-quality community care.
This is a varied and rewarding role where no two days are the same, and your work directly contributes to improving the wellbeing of older members of our community.
Our Journey:
The Aged and Community Care (ACC) Program provides an interdisciplinary service to support older people in the community. The program aims to keep the client independent within their community, proactively promoting health, independence, and self-management whilst assisting with timely interventions to prevent deterioration of the condition, and admission to hospital or residential care.
Key Responsibilities:
In this role you will provide high-quality administrative and coordination support to ensure the smooth delivery of services across the Aged and Community Care Program. You will act as a warm and professional first point of contact for clients and carers, managing incoming calls and enquiries, assisting with program intake and referrals through the My Aged Care system. This includes registering clients, maintaining accurate records, and scheduling and coordinating client appointments to support timely access to services.
You will work closely with clinicians and the wider multidisciplinary team to support appointment scheduling and rescheduling, book interpreters and fleet vehicles, order office and clinical supplies, and assist with printing documentation and correspondence. The role also involves maintaining accurate client information through data entry and record management, supporting Commonwealth reporting requirements, preparing statistical reports and service activity data, and undertaking data cleaning to ensure accuracy and compliance.
In addition, you will contribute to the operational functioning of the program by monitoring staff safety while they are undertaking home visits, maintaining appointment booking systems to optimise client access to services, and supporting financial administration processes including account processing and reporting. You will also play an important role in identifying opportunities to improve administrative systems, service processes and overall program efficiency.

What you need:

Certificate III/ Diploma Business Administration or equivalent training or demonstrated experience in a similar role

Well-developed interpersonal communication and problem-solving skills within a broad range of administration and organisational interactions.

Position is available now, however start date can be negotiated! Primary sites at the new Cranbourne Community Hospital and Pakenham Community Center.
