We seek to fill an Administrative Officer role. The Administrative Officer will work collaboratively with the MCHRI senior leadership team and other staff to provide administrative support for the day-to-day operations of the Centre. As an initial point of contact at Reception for MCHRI the Administrative Assistant will have a friendly and professional approach with all callers, visitors and members of staff.
• General Administrative support to the Senior Program Lead, MCHRI.
• Reception duties for MCHRI;
• Acting as a point of contact for MCHRI team members.
About Monash Centre for Health Research and Implementation (MCHRI), School of Public Health, Monash University and Monash Health
MCHRI sits under the Facility of Medicine, Nursing and Health Sciences at Monash University. Established in 2005, MCHRI has grown from 3 to 180 staff and students. This is a partnership centre across Monash University and Monash Health and provides an implementation laboratory for research and translation embedded and integrated into healthcare. MCHRI works with broader reach across Monash Partners Academic Health Science Centre, nationally and internationally in our research and translation endeavours. Our vision is to create, synthesise, implement and translate clinical, health care and public health knowledge, underpinned by cross sector end user engagement, to deliver health impact. MCHRI has led organisational and individual leadership support programs in healthcare for nearly a decade.
About the Role
Key result areas:
- To provide a courteous and reliable liaison for enquiries from visitors, contractors or internal staff and students, via telephone, email or in person at the MCHRI Reception Desk.
- To provide assistance with the day-to-day operation of the Centres, which may include tasks such as space organisation, meeting planning, staff and student orientation, equipment and consumables purchasing, and assistance with staff travel bookings.
- To work collaboratively with other members of the support staff to provide assistance with roles such as diary and email management, and travel arrangements for senior staff, from
time to time. - Assist in the running of MCHRI events and workshops.
- Arrange catering and consumables for events and workshops as required.
- Manage room bookings, and liaise with presenters to arrange travel.
- Provide basic IT support (with training) for online events.
- Provide assistance with events communications, attendee lists and other organising activities.
- Update and maintain MCHRI committee records.
About You:
- Demonstrated experience in a similar administrative role which required a diverse range of administrative and database support skills.
- Excellent spoken and written communication skills including a proven ability to interact with a diversity of colleagues and clients.
- High level computer skills including Word and Excel, including the ability to learn and adopt new software packages as required.
- Demonstrated high-level organisational skills, including the ability to set priorities, manage time, plan work to meet deadlines and work effectively under pressure.
- Experience in administrative support to a team.
- Ability to work effectively within a team environment or independently.
- Experience in a hospital or medical environment, desired but not essential.
- Current Victorian Driver’s Licence – desirable but not mandatory
