The Medicine, Aged, Community & Mental Health portfolio at Monash Health, one of the most significant and complex portfolios in the organisation brings together some of the largest and most diverse clinical services in Victoria, delivering integrated care across the lifespan and across care settings.
We are seeking an exceptional Executive Assistant to partner with the Divisional Director of Medicine, Aged, Community & Mental Health — providing end-to-end executive support in a complex, high-impact portfolio at Monash Health. It is the highest level of administrative support within the Division, sitting at the centre of strategic decision-making, operational leadership and stakeholder engagement.
The Opportunity
This is a pivotal role at the centre of clinical operations, where you will manage competing priorities, navigate sensitive and confidential matters, coordinate executive forums, and enable strategic decision-making across hospital, community and aged care services.
You will act as a trusted advisor and operational anchor, ensuring the Divisional Director’s office runs with precision, discretion and foresight in an environment defined by scale, pace and public accountability.
Working across a broad internal and external stakeholder landscape — including senior clinicians, operational leaders, government departments and executive colleagues, you will be ensuring priorities are aligned, deadlines are met and governance standards are upheld.
Your impact will be visible, valued and critical to the success of the Division.
About You
You are an experienced Executive Assistant who thrives in complexity. With the ability to remain solution-focused and accountable under pressure, you operate with discretion, precision and composure.
You anticipate needs before they arise and create structure in fast-moving environments. You understand governance, executive rhythm and the standards required at board level.
You will bring:
- Advanced proficiency in the Microsoft 365 suite (Word, Excel, PowerPoint, SharePoint, Outlook)
- Strong technical and systems literacy
- Demonstrated experience preparing directorate reports for Board submission
- Expertise in minute-taking, agenda management and action tracking
- Exceptional organisational skills with the ability to manage competing priorities
- High-level written and verbal communication skills adaptable to diverse audiences
- Proven ability to work under pressure and meet tight deadlines
- Experience in a large, complex organisation (healthcare or public sector highly regarded)
- A continuous improvement mindset and commitment to professional development
