We are seeking a highly attentive and adaptable Health Records Team Leader to join our team at the Kingston Scanning Centre. This is a leadership role with responsibility for overseeing weekend operations and supporting other portfolios as needed. 

 

About the Role 

As the sole Team Leader on-site during the Saturday shift, you will lead a team of 4–5 staff and ensure smooth operations across the Scanning Centre. You may also be required to provide coverage for other Team Leader portfolios during periods of leave or high demand. 

Working hours: 6:30am to 3pm 

Key Responsibilities include (but are not limited to): 

  • Leading and supporting a team of 4–5 direct reports (with potential to oversee a larger group when covering other portfolios) 

  • Managing weekend workflow and ensuring KPIs are met 

  • Independently reviewing performance data and adjusting staffing or workflow as needed 

  • Collaborating with the Operations Manager on ongoing projects 

  • Managing rosters, training, and performance of direct reports 

  • Responding to queries via multiple Microsoft Outlook inboxes and balancing competing priorities 

  • Reporting statistics and operational data to management 

  • Supporting record management processes and compliance 

  • Occasional travel to spoke sites (e.g., Clayton or Dandenong) 

 

About You 

To succeed in this role, you will bring a proactive, solutions-focused mindset and a strong ability to lead and support a team in a dynamic environment. 

You will have: 

  • Demonstrated leadership and team management experience 

  • Strong time management and organisational skills 

  • Experience in data reporting, auditing, and interpreting KPIs 

  • Proficiency in Microsoft Office (Excel, Word, Access, SharePoint) 

  • Ability to write and edit procedures and documentation 

  • Experience in conflict resolution and performance management 

  • A collaborative, can-do attitude and willingness to learn on the job 

  • Background in Health Information Services or a hospital setting 

Desirable (but not mandatory): 

  • Degree in Health Information Management 

  • Previous experience in a leadership role within Health Information Services 

 

About Us 

The Kingston Scanning Centre is the centralised hub for Monash Health’s medical records scanning operations. Since 2019, we have amalgamated services from Dandenong, Clayton, and Casey, and now process documents from across the Monash Health network, including Sandringham, the Victorian Heart Hospital, and all Mental Health and Community sites. 

Our team of over 60 EFT staff operates 7 days a week, 365 days a year, scanning over 400,000 pages per month while maintaining a quality standard of less than 1.2% error rate. We also manage operations such as duplicate UR resolution, research requests, outpatient referral screening, after-hours ROI, and electronic uploads.
