About the Role:
Join our team as a Grants/Research Support Coordinator on a Fixed Term part time (60.8 hours/4 days), fixed term (Nov2026)
The primary purpose of this role is primarily responsible for providing high level administrative support to the Director in a professional, efficient, and confidential manner. This role is a vital part of the Director’s team and is expected to assist other team members within the office to ensure an effective and efficient operation.

MCHRI sits under the Facility of Medicine, Nursing and Health Sciences at Monash University. MCHRI is a collaborative partnership between Monash University and Monash Health. MCHRI utilises public health research as well as the translation and implementation of clinical, health services and public health knowledge, underpinned by cross sector end user engagement, to deliver health impact. MCHRI is the base for the new maternity Learning Health System (LHS), embedding research and maternal healthcare provision, to drive unprecedented, sustainable national improvement in maternity care and health outcomes for women and newborns. MCHRI works with broader reach across Monash Partners Academic Health Science Centre, nationally and internationally in our research and translation endeavours. Our vision is to create, synthesise, implement and translate clinical, health care and public health knowledge, underpinned by cross sector end user engagement, to deliver health impact. About You:
To ensure your success in this role you will bring the following demonstrated skills, experience and knowledge:
• The successful candidate will possess excellent verbal and written skills and the ability to interface effectively, pleasantly and professionally with all employees, governance, and external contacts.
• Be the right-hand support person to the Director – Partner the Director, striving to support and achieve goals.
• Anticipate requirements, managing the unexpected, liaise between the Director, Staff and stakeholders, ensuring professionalism and maintaining confidentiality at all times
• Provide high level secretarial assistance and administrative support to the Director – Administrating the Director’s diary commitments, including the co-ordination of appointments and the organization of meetings which are often complex
• Receiving and allocating the Director’s incoming mail, advising on and tracking responses, dealing with routine matters arising from these matters on behalf of the Director.
• Play an important role in assisting the Director in the punctual delivery of communications to staff and stakeholder, trouble shoot and high-level co-ordination
• Manage CME and travel funding requirements for the Director
• Manage travel arrangements, diary and folder for the Director
• Manage/co-ordinate emails
• Liaise with the other senior staff to facilitate appropriate responses to urgent queries in the absence of the Director
• Office space Management.
• Manage meetings, including preparation of agenda, meeting papers and liaison with meeting attendees.
• Respond to telephone and personal enquiries from the public, other health service executives and all members of staff
• Screening telephone calls and connect/redirect to appropriate staff member where possible
• Model a culture of empathy and service excellence at all times.
• Continually manage and prioritise tasks to ensure optimal functioning of the unit and that all deadlines are met
• OH & S representative for Monash Centre Health Research and Implementation.
What you need:
• A degree/diploma in a relevant area OR an equivalent combination of experience and training
• Experience in senior administration roles
• Understanding of the structure and operations of Monash Health and Monash University desirable
• Experience in diversity and inclusion space would be advantageous
• Current Victorian driver’s licence
